Privacy Policy

Effective date: October 20, 2026

Slatter Consulting, Inc., doing business as Better Practice ("Better Practice," "we," "us"), makes Better Together, a team effectiveness app at my.betterpractice.com, and runs our website at betterpractice.com. This policy explains what personal information we collect through both, how we use it, who can see it, and the choices you have.

The short version:

  • We collect what you give us (your account details and what you submit in the app) and basic usage data.
  • Your survey responses are linked to your account so we can send reminders and prevent abuse. Teammates and admins see combined results, not who said what.
  • Some features send your content to OpenAI to generate AI summaries and chat answers. Your organization can hide these features.
  • We do not sell your personal information or use it for targeted advertising.
  • You can ask us to access, correct, delete, or export your information by emailing help@betterpractice.com.

Better Together is for people 18 or older. We store and process data in the United States. If you use Better Together from outside the US, your information will be transferred to the US.

1. Information we collect

Account information. Your first and last name, email address, company, and password (stored in hashed form by our authentication provider). If someone invites you, we receive your email address and the organization and teams you were invited to.

Organization and team information. Organization and team names, team purposes, your role on each team, team goals, and your seat status.

What you submit in the app:

  • Pulse check-ins: your sentiment rating, the words you select, and optional written comments.
  • Team benchmark surveys: your ratings on the survey questions, and whether you are the team leader.
  • Coworker feedback (360 surveys): your ratings and written answers about a coworker, your relationship to them (manager, peer, or direct report), and your self-review if you are the person receiving feedback.
  • Goals, quizzes, and course activity: goals you create, your goal check-ins, quiz answers, content ratings, and course progress.
  • Jax chats: your conversations with Jax, our AI assistant.
  • Feedback you send us: feedback text, plus your name and email if you agree to be contacted.

Billing information. For paid plans, our payment processor, Stripe, handles payment details. We store Stripe customer and subscription identifiers and billing contact emails, not card numbers.

Usage information collected automatically. When you use the app, we record sessions and page views: the pages you visit, when you are active, and your browser, operating system, and device type. Our servers and providers also receive your IP address with each request.

Website information. On betterpractice.com, our contact form collects your name, email address, company, and message. Our analytics tools collect page views, device information, and how you interact with pages (see Section 6).

Integrations. If your organization connects Slack, we use your email address to find your Slack account so we can send you notifications there.

We do not collect location data, and we do not buy personal information from data brokers.

2. Who can see your responses

Your responses are linked to your account so we can track who has responded, send reminders, and investigate abuse such as offensive comments. Your teammates, team leaders, and organization admins see combined results, and comments without names. Better Practice staff can see who wrote a response, but access it only to operate the service, provide coaching to your team, investigate abuse, or comply with the law.

Coaches. A team's coaches see what team leaders see. Coaches may be Better Practice staff, outside consultants your organization brings in, or people from your own organization.

Coworker feedback. The person receiving feedback sees combined ratings, written answers labeled by relationship (manager, peer, or direct report) but not by name, and an AI summary. Results appear after at least 3 coworkers respond.

Results are combined, but in small groups people may be able to infer how individuals responded.

Your organization. Organization admins can also see who belongs to which teams, members' course progress, and when new members sign up. Your organization decides who holds admin permissions.

3. How we use information

We use personal information to:

  • Provide Better Together: run your account, show team results, send reminders and notifications, and generate reports.
  • Provide AI features (Section 4).
  • Process payments and manage subscriptions.
  • Send service emails, such as invitations, verification codes, password resets, and notifications about your teams.
  • Send product updates and release notes, if you have not opted out.
  • Understand how the app and website are used so we can fix problems and improve them.
  • Create de-identified, aggregated benchmarks and norms from data across customers. These don't identify you or your organization.
  • Keep our services secure, prevent abuse, and keep audit records of changes to data.
  • Comply with the law and enforce our terms.

We do not use your information for targeted advertising, and we do not sell it.

4. AI features

Better Together's AI features, including our assistant Jax, run on models from OpenAI. When you use them, the information below is sent to OpenAI to generate a response.

Jax chat

Your organization controls this. Organization admins can hide AI features in the app for their whole organization.

How OpenAI handles it. OpenAI processes this data as our service provider. Under OpenAI's API terms, it does not use our data to train its models, and it may keep it for up to 30 days to monitor for abuse. We do not use your content to train AI models either.

Jax chat history is saved to your account so you can return to it. You can delete a chat at any time. Deleting a chat removes it from Better Together but cannot recall data already processed by OpenAI.

5. Who we share information with

We share personal information only with the service providers that help us run Better Together, and only for that purpose. They are contractually limited to using it on our behalf.

We may also share information:

  • With your organization, as described in Section 2.
  • To comply with the law, such as a subpoena or court order, or to protect the safety and rights of people or our services.
  • In a business transfer, if we are involved in a merger, acquisition, or sale of assets. We will notify you before your information becomes subject to a different privacy policy.
  • With your consent.

We do not sell personal information, and we do not share it for cross-context behavioral (targeted) advertising.

6. Cookies, analytics, and session recording

In the app (my.betterpractice.com):

  • Required cookies keep you signed in (14 days) and remember which organization you selected (30 days). The app does not work without them.
  • Google Analytics (through Firebase) measures how the app is used. It sets its own cookies and receives some events tagged with your user ID.
  • Our own activity tracking records which pages you view and when you are active, so we can understand usage and support customers.

On the website (betterpractice.com):

  • Vercel Analytics counts page views and visits.
  • Microsoft Clarity records how visitors move, click, and scroll on our pages (session recording) and creates heatmaps. Clarity sets cookies. You can read Microsoft's privacy statement.

Your choices. You can block or delete cookies in your browser settings, though the app requires its sign-in cookies. If your browser sends a Global Privacy Control signal, we treat it as a request to opt out. We do not use advertising cookies or ad pixels.

7. How long we keep information

We keep your account information and the content you submit for as long as your account exists, so your team's history stays available.

  • If you leave a team or lose your seat, your past responses stay in that team's history. They are still linked to your account and still count in combined results.
  • If your organization cancels a paid plan, it moves to the free plan and its data is kept.
  • If you ask us to delete your account, we delete or de-identify your personal information within 45 days. We may keep some records where the law requires it or to resolve disputes. Copies in backups are removed as the backups expire, within 98 days.
  • Usage and audit logs are kept while your account exists.
  • Service providers keep data according to their own retention schedules, for example server logs at Vercel and email activity at SendGrid.

8. Security

We protect your information with encryption in transit, hashed passwords, signed session cookies, role-based permissions, and audit logs of changes to data. Access by Better Practice staff is limited to a small set of named administrators. No system is perfectly secure, so we cannot guarantee that your information will never be accessed without permission. If a breach affects your personal information, we will notify you as the law requires.

9. Your choices and rights

We offer these rights to everyone who uses Better Together, wherever you live:

  • Access: confirm whether we process your information and get a copy of it.
  • Correction: fix inaccurate information. You can update your name and email preferences in Settings.
  • Deletion: have your personal information deleted.
  • Portability: get your information in a portable, machine-readable format.
  • Opt out: of the sale of personal information, targeted advertising, and profiling that produces legal or similarly significant effects. We do none of these, so there is nothing to opt out of, but you may still ask.
  • Marketing emails: turn off product updates in Settings or use the unsubscribe link in any email. We will still send service emails you need, such as password resets.

How to make a request. Email help@betterpractice.com with the subject "Privacy request" and the email address on your account. We will verify your identity by confirming that request through that email address. You may use an authorized agent; we will ask for proof of their authority and may ask you to confirm your identity directly. We respond within 45 days, and if we need up to 45 more days, we will tell you why. We will not charge you or treat you differently for using these rights.

If your employer gave you access, your organization controls its account. We may need to coordinate some requests with them, and they may make requests about their organization's data.

Appeals. If we decline your request, you can appeal by replying to our decision with the subject "Privacy appeal." We will respond within 45 days and explain our reasons. If you disagree with the outcome, you can contact your state attorney general.

10. State privacy notices

Several states, including California, Colorado, Connecticut, Virginia, Texas, Oregon, and others, give residents specific privacy rights. The rights in Section 9 cover all of them, and we extend them to every user regardless of state. This section adds disclosures some states require.
